Our medical and account teams provide strategic support to pharmaceutical company clients and produce top-notch journal articles, abstracts, posters, supplements, slide presentations, monographs, and other educational materials.

Peloton Advantage’s Client Services division is comprised of very talented and highly experienced account leaders who partner with pharmaceutical and biotechnology companies to develop and execute strategic publication plans for their respective brands.


Position Overview 

Act as the communications director and oversee project management for one or more accounts. Participate in the development, execution and delivery of publication plans. Establish ongoing collaboration with designated account team leaders to define client commitments, expectations, and project budgets. The position also includes developing and evaluating timeline and budget parameters which will influence the agency’s staffing, external contracting and profitability. Advise and assist Project Managers with the prioritization of all projects to ensure high-quality, on-time, on-budget performance.

Direct assigned account team members to ensure that all activities and documents meet schedule, financial and quality objectives and commitments. This requires an ability to manage multiple projects, monitor deadlines, prioritize work and evaluate the cost-effectiveness and productivity of team and individual performance. It also includes the ability to identify, analyze and adjust work procedures and relationships to maximize efficiency.
 

Specific Duties, Responsibilities and Activities 

Account Management

  • Approve fee for freelancers/writers; track invoices in Open Air/Project Billing System
  • Conduct project kick-off calls with writers and authors
  • Review status reports prepared by Project Managers; modify schedules, plans or budgets as required—confirm changes are understood by all account team members, and also confirm that any related communications with clients and internal team occur promptly
  • Manage multiple projects effectively
  • Provide direction to Project Manager(s) as needed

Compliance, Documentation and Operational Expectations

  • Comply with established standards, policies and procedures
  • Provide weekly updates to clients
  • Maintain consistent attendance
  • Maintain timely submission of timesheets
  • Professional, timely response to all internal and external communications

Financial Management

  • Accurate and timely invoicing
  • Statements of Work/Purchase Orders are in place before work begins
  • Project Change Notices are prepared and in compliance with corporate standards
  • Ensure client tracking reports and invoice schedules are prepared on a timely basis

Team Management

  • On behalf of the Account Lead, provide current copies of formal proposals, contracts, and contract addenda to all account team members and Operations staff as needed
  • Support the account team in comparing actual hours used against planned budget hours as it relates to the time and event schedules and profitability
  • Ensure that account team, client team, and writers are clear on their individual responsibilities as they relate to the publication process and outputs
  • Review and address the process to ensure timelines are being met by all team members, support services, and freelancers. This includes timelines that are affected by client actions as well as internal employees and freelancers
  • Run weekly internal status meetings
  • Deliver designated reports to clients
  • Analyze accounting reports (transaction reports) to evaluate the budget integrity and productivity of each project. Review with team on a monthly basis and ensure that all team members are performing in a manner that will meet budget and project profitability targets
  • In the absence of Project Manager, the SAM steps in to assume the role

Research Support

  • Identify requirements for writers and work with Clinical Services for contracting
  • Track billing completeness, accuracy and timeliness and ensure that Accounting has been notified of all monthly billing requirements and opportunities on a timely basis

Account Awareness

  • Support the development of client proposals and contracts including estimating and finalizing staff and financial requirements based on specific strategies and plans
  • Identify and support requirements for requests for proposals, pricing and coordinating services with outside vendors
  • Assist Account Lead in managing monthly and quarterly forecasts
  • Manage client contacts and relationships with a focus on keeping the client well-informed of project status, and ensure that the client understands their obligation to provide information and feedback on a timely basis

Product Knowledge

  • Attend relevant conferences in therapeutic areas as needed
  • Gain knowledge of the therapeutic literature, understand client data and provide strategic and scientific feedback to the medical team

Education or Equivalent: (Minimum required to perform job)

  • B.A. or B.S. in marketing, communications, biology, life sciences or related field (candidates with an advanced degree and/or CMPP certification preferred)
  • 5-7 years of experience in the medical publication planning industry

Knowledge/Skills Requirements:

  • Strong computer skills, including Microsoft Word, Excel, Access, PowerPoint, and Project Management software, and the ability to apply these skills to deliverables
  • Ability to work independently as well as in a team structure.
  • Business writing skills
  • Experience with DataVision required
  • MUST HAVE MEDICAL PUBLICATIONS EXPERIENCE
