Department/Position Overview 

Peloton Advantage’s Project/Account/Client Services division is comprised of very talented and highly experienced account leaders who partner with pharmaceutical and biotechnology companies to develop and execute strategic publication plans for their respective brands.

Continued responsibility for the oversight of projects from inception to completion with a greater focus on meeting and exceeding the goals of the account.   Assist in leading the development, execution and delivery of publication plans. Understand and communicate the commitments, and expectations of client projects. Provide support for all account related activities. Maintain and document ongoing status of projects and next steps. Increase exposure with clients and authors. May run some projects independently. Effectively communicate with account team and internal/external resources. Develop strong relationships with freelancers.


Project Management
  • Maintain the status of all ongoing publication projects including internal (ie, account, medical and editorial) and external (ie, author, client and journal/congress) deadlines 
  • Traffic all projects between account, medical, editorial and support services
  • Facilitate material to all external writers via email, fax and FedEx including writer package template, outline, references, etc.
  • Complete external writer request form and prepare writer package
  • Understand the process for completing job number requests with the ability to help others with this process as needed
  • Assign and close project numbers and ensure that all team members are using them correctly
  • Assist with the preparation of Authorship Agreements
  • Assist with faculty recruitment
  • Prepare materials for project kick-off calls with writers and authors
 
Compliance, Implementation and Documentation
  • Provide quality and version control of projects
  • Manage project files and folder maintenance   
  • Comply with established standards, policies and procedures
  • Maintain consistent attendance
  • Maintain timely submission of timesheets
 
Team Management
  • Provide daily communication with all stakeholders to ensure deadlines are met throughout the project lifecycle
  • Oversee submission and/or publication plan binders
  • Schedule and manage internal status meetings
  • Become familiar with permission process to execute requests in absence of Information Specialist
  • Assist with vendor management, including production, graphic design and writers
  • Facilitate internal communications and may direct client and author correspondence
  • Prepare client status reports and assist with contact reports
  • May assist with faculty recruitment
  • Assist Account Manager in comparing actual hours used against planned hours and timing to be accountable for project profitability
 
Research Support
  • Research relevant journal and congress databases to update grids used by the internal and client teams paying close attention to late breaker deadlines
  • Obtain applicable congress and journal guidelines
  • Assist Account Manager by identifying and providing job closing list for Account Manager review
 
Account Awareness
  • Update and distribute status reports for weekly meetings
  • Stay attuned to project performance (time used vs. budget)
  • Assist with reconciliation of vendor receipts as needed
  • Participate in kick-off calls with freelancers and authors
  • Gain exposure/be introduced to client proposals
  • Review forecasts with Account Manager or Senior Account Manager to gain knowledge of forecasting process.  Occasionally attend forecasting meetings.
 
Product Knowledge
  • Establish and modify time and event schedules for each publication plan in consultation with the account team and support services
 
Knowledge/Skills Requirements:
·       Strong computer skills, including Microsoft Word, Excel, Access, Power Point and Project Management software
·       Ability to work both independently and in a team structure
·       Experience with DataVision required
